These terms and conditions apply to all participating in The Big Walk, operated by Prostate Cymru. By taking part in The Big Walk, each participant agrees to these terms and conditions.

1.0 Participation

1.1 Anyone aged under 16 years must get permission to take part from their parent or guardian before registering. Any children attending should be accompanied by a registered participant and are the sole responsibility of the accompanying adult.  The Big Walk routes are open to the general public during the event as The Big Walk does not have exclusive access to both routes.

1.2 Each participant must confirm that they have read terms and conditions by checking the relevant box during on-line registration on www.prostatecymru.com/thebigwalk

 

1.3 By taking part, all participants confirm that photographs and video captured during their participation may be used on any future promotion for The Big Walk as well as being included on the official website www.prostatecymru.com/thebigwalk 

1.4 Participant race numbers are specific personal identifiers and may not be exchanged with or transferred/sold to any other person. Sale and/or transfer of race numbers is strictly prohibited and will result in the disqualification and/or banning of any individuals involved from future events.

1.5 Registrations will NOTbe open on the day of the event for anyone wishing to participate. The Big Walk also reserve the right to change the date.

1.6 Participants must not be under the influence of drugs or alcohol.

1.7 Participants must be reasonably fit and disclose all medical conditions. The Big Walk reserve the right to refuse anyone believed to be unfit to take part.

1.8 By participating walkers are agreeing to endeavour to raise a minimum of £20 that they will forward to The Big Walk (Prostate Cymru) no later than 6 weeks after the event.

2.0 Payment and Registration Fees

2.1 Entry fees cannot be refunded. This is a contribution towards the administration costs of putting on The Big Walk. Entries may not be deferred toward any future events unless agreed by The Big Walk.

3.0 Participant Withdrawal

3.1 A participant may withdraw free-of-charge up to two weeks before the event. Notice of withdrawal from the event must be communicated by emailing info@prostatecymru.comstating clearly the desire to withdraw and putting the word WITHDRAWALin the subject line of the email. Withdrawals will not be accepted by telephone. Participants can withdraw at any point prior to the event.

3.2 Entries cannot be deferred to the following year nor to any other event unless agreed by The Big Walk.

4.0 Cancellation and Alterations of the Event

4.1 If the event is cancelled because of circumstances beyond the reasonable control of The Big Walk then all entrants’ fees will be carried forward to the rearranged date.

4.2 The Big Walk reserves the right to alter aspects of the event at any time. Any alterations, such as a change in start time, will be communicated to participants in good time to allow for plans to be revised.

4.3 The Big Walk reserves the right to amend the event format at their discretion.

5.0 Disqualification

5.1 The Big Walk reserves the right to disqualify any participant found to be in breach of the terms and conditions.

5.2 Disqualification can be enforced upon partaking in any of the following:

– Urination in any area other than designated
– Swapping numbers with another walker, without prior consent from The Big Walk
– Possession of any alcohol or drugs
– Deviation from the designated route
– Refusing to obey the directions of event officials, or who conducts himself/herself in an unsportsmanlike manner, or who uses offensive actions or language to officials, volunteers, participants, or spectators

6.0 Event Day

6.1 Participants must follow instructions as given from all event officials including event staff, volunteers and medical personnel before, during and after the event.

6.2 All participants are expected to conduct themselves in a respectable and courteous manner during their participation in the event. This means, for example, that urinating or defecating anywhere on or near the course shall be strictly prohibited except in toilet facilities on route. Anyone violating this rule of conduct will be disqualified from the event

6.3 Every participant shall be provided with a walk number, which MUSTbe worn on the front of shirts and be visible at all times during the event. The number is to be worn as issued. No participant shall be permitted to participate in the event without the appropriate number.

6.4 All participants must write their name and details of any health problems or medication on the reverse of the walk number, which must be worn on the front of shirts during The Big Walk.

6.5 Participants should also inform The Big Walk of any special medical conditions during on-line registration, plus any updates at event day registration.

6.6 Participants must begin the event during the official recognised starting times.

6.7 No consumption of alcohol during The Big Walk routes. Over 18’s only when at the after-party at Kenfig Hill RFC, Bridgend. The Big Walk accepts no responsibility for any issues or accidents arising from excessive alcohol consumption. Please respect the event, drink responsibly.

6.8 The official cut off time for this year’s event is 6.30pm. This time has been set at the discretion of the event organisers. The official marshalling of the event will finish at 6:30pm & all remaining walkers will have the option for transport back to short or long route finish line.

7.0 Participant Obligations

All participants must oblige to the following:
7.1 Advice provided by The Big Walk and comply with instructions and directions given by event officials.

7.2 Avoid using headphones whilst walking, to limit the risk of injury to yourself and other participants. The Big Walk will not be held responsible for incidents caused as a result of the use of headphones which inhibit the communication of important warnings or information from emergency services or course marshals.

7.3 Display the correct walk number provided by The Big Walk, with appropriate medical information completed on the reverse.

7.4 Avoid deviation from the designated route

7.5 We ask all participants and their supporters to be respectful of local residents, to not make excessive noise along the route and to use the litter and recycling facilities available. As we also do not have exclusive use of both routes it is likely that there will be members of the public using the routes as well. All courtesy shall be given to members of the public to ensure that the event can be held in the future.

8.0 The Start

8.1 Participants shall assemble inside the Principality Stadium (Gate 3)no later than 8:30am on the date of the event for a Health & Safety brief.

9.0 Participant Safety

9.1 Medical personnel authorised by the event to do so may examine any participant who appears to be in distress. If, in the sole opinion of authorised medical personnel, it is in the best interest of the participant’s health and welfare, medical personnel may remove the participant from the event.

9.2 Participants must retire at once from event if ordered to do so by an event official, medical professional, or any person in authority.

9.3 Participants are responsible and assume liability for any and all medical expenses incurred as a result of training for and/or participation in the event, including but not limited to ambulance transport, hospital stays, physician and pharmaceutical goods and services.

9.4 In the interest of safety, The Big Walk, in consultation with the Police and Emergency Services, reserve the right to delay, cancel, or suspend The Big Walk due to extreme inclement weather or a major incident on or near the event route. In these circumstances no refunds will be issued however registration fees will be carried forward to the rearranged date. If the participant cannot attend the new date, then no refund will be given.

9.5 In the event of any major occurrences along the route, The Big Walk and the Emergency Services reserve the right to alter/shorten the route, but still provide an event if possible. In these circumstances no refunds will be issued.

9.6 The Big Walk and the Emergency Services reserve the right to stop The Big Walk at any time, if deemed necessary. These would be in circumstances beyond our control and no refunds would be given. However, registration fees will be carried forward to the rearranged date. If the participant cannot attend the new date, then no refund will be given.

10.0 Liability

10.1 Participation is at the participant’s own risk.

10.2 The Big Walk or its staff shall not be liable for indirect or consequential loss or damage.

10.3 Even though The Big Walk takes every care with staging the event, the participant acknowledges that personal accident and personal items insurance is their own responsibility. The Big Walk shall not be liable to the participant for any loss or damage of or to personal equipment belonging to the participant, or any indirect or consequential loss or damage whatsoever arising out of the participant taking part in the event.

10.4 The Big Walk will not be responsible for the behaviour of any spectators or third parties.

10.5 The Big Walk cannot be held responsible for any issues or allergies resulting from food and drink products given out on the day of the event.

11.0 Collection and Use of Data

The participant agrees and consents to The Big Walk using his/her personal details provided in his/her online registration form for the following purposes:

11.1 Event Administration
The Big Walk requires a record of each participant’s registration details including third party emergency contact information for administration purposes to properly and safely conduct the event. By participating in The Big Walk, you acknowledge and agree that personal information (including medical information entered against your race number or collected by event medical staff during or after the event) can be stored and used by The Big Walk in connection with the organisation and administration of the event and for the compilation of statistical information. The participant confirms that their name, video footage, audio recordings or photographs taken during their participation may be used to publicise the event.

11.2 Email Communication
The Big Walk will use the participants contact data submitted on the online form to send the participant information by email relating to the event, other events and any further categories of news and promotional information. The participant may unsubscribe from these communications at any time.
The participant acknowledges and agrees that The Big Walk may send an email notification following the event inviting the participant to submit or renew his/her registration for any future events.

12.0 Result Timing

12.1 The event is not being timed in relation to fastest finisher etc. However, for safety reasons only, the event organisers will record start and finish times for all participants taking part in both the long and short route.

12.2 The Big Walk is not a race, it is a non- competitive group charity walk. Running is not advised or permitted. Anyone found running will be asked to leave the route.

13.0 Amendments/Reservations/Acknowledgements

13.1 The Big Walk reserves the right to modify, supplement or waive all or part of the event rules without notice. It is the participant’s responsibility to check the event website for any changes. Participants shall be bound by any modification or supplement of the event rules published prior to the event. Failure to follow these event rules, as may be amended, will result in immediate disqualification.
