ABOUT PROSTATE CYMRU

Prostate Cymru is Wales’ leading prostate health charity. Its main objectives focus around generating awareness and improving prostate health services for men in Wales.

Every 45 minutes a male in the UK dies of Prostate Cancer, making it one of the most diagnosed diseases.

The charity is 20 years old this year (2023) and throughout its history has been able to fund specialist equipment, medical staff, research projects and awareness marketing campaigns.

Receiving no public funding means the charity is reliant on income from supporters and has developed a strong fundraiser following. Prostate Cymru also hosts a number of its own annual fundraiser events, enabling income generation for the ongoing funding of key projects.

Prostate Cymru is looking for a committed Administration Assistant, to join its friendly and thriving charity. The role will focus on providing administrative support to the wider Prostate Cymru team.

About the role

The role of Administration Assistant provides an opportunity for an individual to take on a productive and rewarding role with a leading Welsh charity. The chosen candidate will very much be at the heart of the team providing support and demonstrating first-class organisation skills.

SKILLS & EXPERIENCE

  • Previous workplace administration experience
  • Strong communication skills – verbal & written
  • Strong IT Skills – comfortable using excel and outlook
  • Ability to manage and prioritise multiple tasks
  • UK Drivers License

Responsibilities

Management and coordination of charity awareness calendar.

Prostate Cymru is proud of its busy awareness team, a group of individuals who regularly visit companies and community groups to talk about the risks and symptoms associated with prostate health. The Administration Assistant will support this arm of the charity by:

  • Taking responsibility for the awareness calendar, booking and logging in awareness sessions and other outreach programme activities.
  • Regularly communicating with the awareness team on upcoming talks, dates, locations and any other relevant information.
  • The main point of contact for the awareness team, dealing with queries and providing support
  • Point of contact for external awareness enquiries
  • Distribution of relevant charity literature and awareness items
  • Communicating relevant information to companies/ community groups receiving awareness talks
  • Responsible for a post-talk follow-up to gather feedback
  • Feed into plans for promoting/ recruiting awareness sessions. Day to Day Office Support
  • Answering office phones, diverting calls and messages to the correct staff members, as well as answering public queries.
  • Coordinating packing and posting of fundraiser packs
  • Coordinating the distribution of Prostate Cymru merchandise items
  • Logging notes and actions from internal meetings
  • Charity post
  • The organisation of charity stationery and merchandise
  • Other ad hoc tasks
  • Event Support to a wider team
  • When necessary, provide the events team with relevant administration support, updating documents, online filing, fundraiser databases and RSVPS
  • Help the team physically prepare for upcoming events e,g packing charity items, locating relevant merchandise, and event stationary.
  • Attend ad hoc Prostate Cymru events. Supporting the on the day delivery
  • Ensure the office is kept presentable and assist with putting items away post-event.
